Vehicle reservation by KYBURZ
Matthias Röthlin talks about the challenges of fleet management and how vehicle reservation helps him.
Matthias has been in charge of the pool vehicles for several years. In the beginning, he coordinated the pool vehicles in the Outlook calendar. "That also worked very well. The reservations could be made by everyone themselves and I had an overview." As the company grew, so did the fleet pool, and the situation became confusing. "Often there were double bookings and I didn't know who had made the booking."
Maintenance management was also a challenge. Vehicles came back dirty, not refueled, or even defective. Matthias recalls "I often had no way of tracking who had last borrowed the vehicle and who I needed to approach."
Then came vehicle reservation
About a year ago, we introduced vehicle reservations via Fleet Management System. Our Fleet Team worked intensively on a solution that would cover all the needs of our fleet manager.
"It was an adjustment at the beginning, but today I depend strongly on the tool. It gives me time for other things and saves me a lot of effort."
Today, anyone can also reserve a vehicle themselves. The system creates clarity about who reserved a vehicle and who drove. Where the trip went and where the vehicle currently is also shown by the system. "This is particularly valuable for us, as we are now split between three locations." Matthias Röthlin reports.
"I can't imagine working without the reservation tool. It saves me time and effort and makes room for other important tasks." Matthias Röthlin
What the future holds
Matthias is especially looking forward to the moment when key management becomes obsolete. The Fleet Team is working on various enhancements to the KYBURZ Fleet App, including keyless vehicle access. Thanks to this function, the keys can always remain in the vehicle. With a valid reservation, the vehicle is opened via an app Bluetooth connection.
